THINGS TO KNOW BEFORE YOU BOOK

Pre-sale

  • Previous At The Beach guests and Guild Members who opt in will receive a Password which will give them access to the Pre-sale on June 5th.
  • Passwords are non-transferrable and can only be redeemed by the password holder.
  • One Pre-sale Password will allow you to book ONE room, so plan accordingly!
  • More Pre-sale Passwords are sent out than rooms available. You are not guaranteed a room, so be sure to book right away at your assigned time.

Returning At The Beach Guests

  • Returning guests will automatically receive a Pre-sale Password via email on May 30th after the line up announcement.
  • Your booking time is based on your trip history.

Avett Guild Member Opt-In

  • Previous At The Beach guests SHOULD NOT opt into the Pre-sale.
  • Guild Members who have NOT attended At The Beach before are able to opt into the Pre-sale. You must opt in by 11:59 PM on June 2nd in order to be eligible.
  • We will make Cloud 9 Accounts for these guests and your Password will be sent via email on June 4th.

Public On Sale

  • If any rooms remain, the Public On Sale will begin at 12pm ET on June 6th.
  • You will NOT need a Password for the Public On Sale.
  • Be mindful, you are reserving an entire suite when booking. Get with your roommate and determine who will be the “Lead Guest” in charge of making the reservation.
  • During the booking process, you will be able to add the name of your guest.
  • Suite choices are expected to be limited for the Public On Sale, so have 1-2 backup options in mind.
  • Suite inventory will be updated in real time on our website, so you can plan accordingly.
  • Everyone attending At The Beach must have a Cloud 9 Account. Save yourself time and register prior to booking.

Rounding Out Your Trip

  • The event offers additional nights, transportation, insurance, children items, and more while booking your reservation for an additional cost.
  • When you first make your reservation, any additional items you select will increase the deposit amount owed at that time.
  • These items are non-refundable and must be paid in full at the time they are added to your reservation.
  • These items can be added anytime after booking either through your Cloud 9 Account or by contacting the Travel Team.
  • Please note, some extra night categories are limited in quantity and could potentially sell out for the event. Don’t hesitate too long when deciding.

Lead Guest

  • This is the person that creates the reservation and is the “owner”.
  • They are responsible for making sure the reservation is in good financial standing.
  • This is the only person that can initiate changes to names on a reservation. It is the Lead’s responsibility to make sure that all the guests are properly added.
  • The Lead Guest is the only person who can cancel a reservation.
  • Changes to the Lead Guest are subject to a fee according to the Name Change Schedule.

Roommates

  • Have everyone create a Cloud 9 Account. Anyone who attended Avetts At The Beach in the past will already have an account.
  • Add your roommate when booking by entering their name and email address.
  • Guests can be added or changed until February 5, 2020. Fees may apply.
  • Guest additions and name changes are only complimentary for a limited time. Fees WILL increase the longer you wait.
  • There are no single occupancy rates. Single travelers will either book a room at double occupancy or contact the Travel Team to inquire about other possible solo travelers.

Accessibility

Please make sure that you have notes of your mobility and medical conditions in your Cloud 9 Account and in the Preferences section of your reservation.

  • Anyone needing ADA accessible accommodations should book into a Caribbean Suite with a King Bed and contact the Avetts At The Beach Accessibility Coordinator – accessibility at cloud 9 adventures dot com
  • Wheelchairs, scooters, and amphibious chairs (with larger tires that can traverse sand and are water friendly) are not available through the hotel. You may be able to rent and have one delivered to the resort. Contact the Accessibility Coordinator for assistance.
  • Our At The Beach airport transportation offers ADA accessible shuttle options for those in need. Simply purchase transportation at the standard rate and contact the Travel Team to make arrangements at least 30 days prior to the event.
